Privacy Policy

This policy is a draft prepared for Board adoption. It describes how we handle information for members, supporters, and website visitors.

Status: Draft for Board adoption. Once adopted by the Board of Directors, the adoption date will be recorded on our Transparency page.

Organizing as a Maryland nonprofit corporation. IRS recognition under Section 501(c)(3) has not yet been granted.

Who we are

Information we collect

  • Membership information: name, email, phone, country, state/region, city, membership category, eligibility note, membership standing, and dues records.
  • Account information: authentication identifiers and, if you upload one, a profile photo.
  • Pledge and support information: name, email, pledge amount, designated purpose, and any message you provide.
  • Welfare and assistance information: the category and summary of a request, and the decision recorded by authorized reviewers.
  • Participation records: event registrations and check-ins, meeting attendance, meeting transcripts where recording and transcription consent was given, and voting participation.
  • Communications: contact-form messages, internal member messages, and email delivery records.
  • Technical records: limited security, error, and audit logs needed to operate the site.

How we use information

We use information to administer membership, verify standing, operate meetings, events, voting, welfare review, and internal messaging, to communicate with members and supporters, to keep accurate governance and financial records, and to protect the security and integrity of our systems. We do not sell personal information, and we do not use it for unrelated commercial purposes.

Sensitive information

Welfare, health, hardship, bereavement, and similar circumstances are treated as sensitive. Access is restricted to authorized reviewers with a legitimate governance need. Sensitive request details are not published, are not shared with the general membership, and are excluded from public verification and public reports.

Public member verification

With the member's consent, this page may display the member's name, membership category, current standing, and member-since date. It does not display contact, payment, welfare, voting, or other private account information. Members may request that public verification be disabled.

Public verification is off by default. You may enable or disable it at any time from your member dashboard, and you may ask us to disable it on your behalf.

Sharing and service providers

We share information with service providers that host our website and database, deliver our email, and provide video meeting infrastructure, only to the extent needed to deliver those services. We may disclose information where required by law or to protect the rights, safety, or property of the organization, our members, or others.

Retention

We retain membership, governance, and financial records for as long as needed for the purposes described above and for the record-keeping periods appropriate to a nonprofit organization. Records that are no longer needed are deleted or de-identified. Meeting transcripts and recordings are retained only as long as necessary to prepare and approve minutes, unless a longer retention period is authorized by the Board.

Your choices

  • Review and update your profile from your member dashboard.
  • Enable or disable public membership verification.
  • Withdraw recording and transcription consent for future meetings.
  • Unsubscribe from non-essential email using the link in our messages.
  • Request access to, correction of, or deletion of your information by writing to info@ntocuda-diaspora.org. We will respond within a reasonable period and will explain where records must be retained for governance or legal reasons.

Contact-form and message information

We use the information submitted through this form to respond to your inquiry and maintain necessary communication and security records. Please do not include confidential welfare, health, financial, or identification information in a general contact message.

Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we hold. No transmission, application, or storage system can be guaranteed to be completely secure.

Children

This website is not directed to children. We do not knowingly collect information from children without the involvement of a parent or guardian who is a member or supporter.

Changes to this policy

We may update this policy as the organization completes formation, adopts governance policies, and expands its services. Material changes will be posted on this page and reflected in our Transparency records.
